About Weaf HR

What is Weaf HR?

Weaf HR is an all-in-one HR and payroll platform. It covers employees, payroll, leave, attendance, recruitment, performance, training, assets, contracts and documents in a single system, so the same employee record drives every process instead of being re-keyed into separate tools.

Can Weaf HR run payroll automatically?

Yes. You define salary components once, give each employee a salary structure built from those components, then create a payroll run for the period. The run gathers everyone it covers, calculates gross and net pay, and produces the payslips.

Does Weaf HR handle leave and attendance tracking?

Yes. Leave types and policies set the rules, employees apply against their balances, and an approval updates those balances automatically. Attendance can be entered by hand, derived from shifts, or imported from a biometric device.

Is my employee data secure?

Each company's data is isolated from every other company on the platform, access is controlled by roles you define yourself, and the database is backed up nightly to off-site storage.

Can I manage recruitment and onboarding in Weaf HR?

Yes. Job postings publish to your own careers page, applications arrive as candidates, and interviews, assessments, offers and onboarding checklists carry a candidate through to their first day as an employee.

Does Weaf HR support performance reviews?

Yes. You set indicators and goal types, assign goals to employees, and run review cycles that produce a rated review against those indicators.

Does Weaf HR have an API?

Yes. You can issue API tokens and register webhooks from inside the application, and the full API reference is published with a live demo account you can try requests against.

How many employees can Weaf HR handle?

The limit comes from your plan rather than the software. Plans set a maximum number of employees, users and storage, and you can move to a larger plan at any time without losing data.

What plans are available and can I upgrade later?

There are plans for different team sizes. You can start on the free plan and upgrade whenever your organisation grows; your data carries across unchanged.

Can employees sign in to Weaf HR themselves?

Yes. An employee record can be given a user account, and roles decide what they see — typically their own payslips, leave balances and documents, without access to anyone else's.

Creating Your Company Account

How do I sign up in Weaf HR?

Registration is reached from Get Started in the header of the welcome page, or directly at /register.

  1. Open the welcome page and choose Get Started.
  2. Complete the form: Full name, Email address, Password, Confirm password, I agree to the Terms and Conditions.
  3. Submit the form. The company workspace is created and you are signed in as its first user.

Users, Roles and Access

How do I add a user in Weaf HR?

The people who can sign in. A user is a login; an employee is an HR record. They are related but separate — a cleaner with no computer access is an employee without a user, and an external auditor might be a user without being an employee.

  1. Choose Add User at the top right. The form opens in a panel.
  2. Complete the required fields: Name, Email, Password, Confirm Password.
  3. Make the selections the form asks for: Role.
  4. Choose Save. The new record appears in the list.

How do I add a role in Weaf HR?

What a user is allowed to do. Permissions are attached to roles, not to people, so granting access means giving someone a role rather than ticking boxes for each individual.

  1. Choose Add New Role. The form opens in a panel.
  2. Name the role after the job it describes — HR Officer, Payroll Clerk — rather than after the person who will hold it.
  3. Work down the permission list and tick what the role may do. Permissions are grouped by module, and there is one for each action the system can perform.
  4. Choose Save. The role can now be given to any number of users.

Company Structure

How do I add a branch in Weaf HR?

The physical or legal locations your company operates from. Branches come first because departments, employees, holidays and attendance rules all hang off them.

  1. Choose Add Branch at the top right. The form opens in a panel.
  2. Complete the required fields: Branch Name.
  3. Fill in anything else that applies: Address, City, State/Province, Country, ZIP/Postal Code, Phone, Email.
  4. Choose Save. The new record appears in the list.

How do I add a department in Weaf HR?

Divisions within a branch — Finance, Human Resources, Information Technology. Each department belongs to a branch, which is why branches are set up first.

How do I add a designation in Weaf HR?

Job titles within a department: HR Manager, IT Manager, Recruiter. A designation is the title an employee holds, distinct from the department they sit in.

How do I add a document type in Weaf HR?

The kinds of document an employee is expected to provide — contract, national ID, qualification. Marking a type as required makes its absence visible on the employee record.

  1. Choose Add Document Type at the top right. The form opens in a panel.
  2. Complete the required fields: Document Type Name.
  3. Fill in anything else that applies: Description, Required.

Employees

How do I add an employee in Weaf HR?

The heart of the system: one record per person employed, holding their personal details, job placement, documents and salary. Almost every other module refers back to an employee record, so this is usually where a new implementation spends most of its setup time.

  1. Make sure the branch, department and designation this person will belong to already exist. The form offers them as choices; it does not create them.
  2. Choose Add Employee. The form opens on its own page.
  3. Complete the identity section: full name, employee code, email, password, phone, date of birth and date of joining.
  4. Complete the address and emergency contact sections.
  5. Complete the bank section — bank name, account holder, account number, BIC/SWIFT and branch — which payroll needs before this person can be paid.
  6. Enter the base salary, then select the branch, department, designation and, if you use them, the shift and attendance policy.
  7. Save. The employee appears in the list and can now be referenced everywhere else in the system.

Leave Management

How do I add a leave type in Weaf HR?

The kinds of leave your company grants — annual, sick, maternity — and the maximum days a year each allows.

  1. Choose Add Leave Type at the top right. The form opens in a panel.
  2. Complete the required fields: Leave Type Name, Maximum Days Per Year, Color.
  3. Fill in anything else that applies: Description, Is Paid.
  4. Choose Save. The new record appears in the list.

How do I add a leave policy in Weaf HR?

The rules applied to a leave type: how entitlement accrues, whether unused days carry forward, and whether applications need approval. A leave type without an active policy cannot be applied for.

  1. Choose Add Leave Policy at the top right. The form opens in a panel.
  2. Complete the required fields: Policy Name, Accrual Rate (Days), Carry Forward Limit (Days), Min Days Per Application, Max Days Per Application.

How do I add a shift in Weaf HR?

Working patterns: start and end times, break length, the resulting working hours, and the grace period before a late arrival counts as late.

  1. Choose Add Shift at the top right. The form opens in a panel.
  2. Complete the required fields: Shift Name, Start Time, End Time, Break Duration (minutes), Grace Period (minutes).
  3. Fill in anything else that applies: Description, Break Start Time, Break End Time, Night Shift.

How do I add an attendance regularization in Weaf HR?

Corrections to attendance. When a clock-in is missing or wrong, the employee requests a change, the original and requested times are shown side by side, and a manager decides — so records are corrected with an audit trail rather than quietly edited.

How do I add a payroll run in Weaf HR?

A payroll for a period. The run gathers the employees to be paid, calculates gross and net pay from their salary structures, and produces the payslips.

  1. Confirm that every employee to be paid has a salary structure on Employee Salaries. An employee without one is skipped.
  2. Choose Add Payroll Run.
  3. Give the run a title, set the frequency, and set the pay period and pay date.
  4. Save. The run is created and gathers the employees it covers.
  5. Review the gross and net totals shown on the list before doing anything further with the run.
